Facebook bulk import vs a bulk upload tool: which one for this batch (decision guide)
Meta's Export and Import is free and official; a bulk upload tool costs money and does one thing. Both are the right answer for different batches. Five questions decide which one you should open this week.
The short answer
Use Meta's spreadsheet import for structural batches: many ad sets, audiences, geos, budgets, or a campaign cloned into a new market. Use a bulk upload tool for creative batches: a folder of new images and videos that need to become correctly configured ads in ad sets you already have. Most teams need both, for different weeks. The mistake is using one for the other job.
The rest of this guide is how to tell which batch you are holding. The mechanics of the importer itself (template, media references, limits) are in Meta Ads Manager bulk import via spreadsheet; this page assumes you have read it or know the tool.
What each one actually does
The importer turns rows into campaigns, ad sets and ads. Each row is an ad; the campaign and ad set columns create or reference the parents. It can not carry files: images and videos must already be in the account, referenced by image hash, exact file name or video ID. Every row is validated; one wrong cell rejects that row and you fix and re-import. Some Advantage+ creative settings and newer placement options are not fully expressible in the schema, so imported ads can carry Meta's defaults. The import file size was about 2 MB at the time of writing.
A bulk upload tool (Adlio, Rapid Ads, Ads Uploader and others, compared in the best bulk ad launchers for Meta ads) goes from files to ads through the Marketing API. It uploads the media, waits for processing, creates each creative with stored copy, URL, UTMs and enhancement settings, and creates the ads, in Adlio's case always paused, in an ad set you pick. It does not restructure an account.
Five questions
1. Is the batch structural or creative?
Count what is new. Twenty new ad sets with three existing ads each: structural, importer. Three ad sets receiving twenty new files each: creative, tool. A campaign with new ad sets and new creatives is two batches; do the structure first with the importer, then the creatives with the tool.
2. Where is the media right now?
If the files are already in the account (an earlier ad used them, or they are in the media library) the importer only needs their references. If the files are on your disk, the importer makes you upload them by another route first, wait for video processing, then collect hashes and IDs into rows. That upload is the whole job, and the sheet adds a second pass. A tool does the upload and the ad in one pass, including video up to 4 GB.
3. Do enhancements have to be off?
If your test or your brand depends on Meta showing the file you approved, the importer can not guarantee it: enhancements are per creative, several are set through API keys the schema does not expose, and defaults are mostly on. A tool that sends explicit opt-outs can; Adlio sends OPT_OUT for all 69 keys the live API accepts plus the music opt-out on every creative. 4. How many times will you do this?
A one-off restructure justifies an afternoon with a spreadsheet, including the row-error round. A weekly creative batch does not: the error-fixing step does not get shorter with practice, because the errors come from the data, and the media pre-upload is repeated every week. 5. Who is doing it?
The importer rewards one spreadsheet-literate person who knows the account's schema. A tool with per-account defaults rewards a team: a VA can drop the files, a buyer reviews the paused batch, a client-side reviewer checks the preview. If the person launching is not the person who set up the account, the tool's stored settings are the safety net.
Cost, like for like
The importer is free; its cost is time, mostly in the media pre-upload and the error round. Frequently asked questions
Can the spreadsheet import upload my images and videos?+
No. The sheet carries references, not files. Images must already be in the account (referenced by image hash or exact file name) and videos must be uploaded and processed so they have a video ID. For a batch of new files, that upload is the whole job and the sheet is a second pass on top of it.
Does the importer turn Advantage+ enhancements off?+
Not reliably. Several enhancement settings are set through API keys the spreadsheet schema does not expose, and Meta defaults are mostly on, so imported ads can carry enhancements you did not choose. Check one imported ad before setting the batch live. A tool that sends explicit opt-outs per creative can guarantee it.
Can I use both on the same campaign?+
Yes, and it is often the best split: build or restructure ad sets with the importer, then add the creatives to those ad sets with a tool. Exporting the campaign afterwards gives you every ad in one sheet for the QA pass.
Is a tool safer than the importer?+
They fail differently. The importer rejects rows with errors and makes you fix them; a tool creates ads exactly as its stored settings say, so the risk moves to those settings. A tool that creates every ad paused, as Adlio does, gives you the review step before anything can spend.
